TLC Vacations - Booking and Competition Terms and Conditions
Effective from 30th July 2026.
Please read these terms carefully before confirming your booking. By paying a deposit or making any other payment towards a booking, you confirm that you have read, understood and accepted these terms on behalf of yourself and everyone included in the booking.
- About TLC Vacations
TLC Vacations (Pty) Ltd (“TLC Vacations”, “we”, “us” or “our”) is a South African travel company that arranges travel services on behalf of its customers.
We act as an intermediary between you and third-party suppliers, including airlines, hotels, resorts, transfer companies, tour operators and activity providers. Your booking is also subject to the terms and conditions of the relevant suppliers.
TLC Vacations is responsible for arranging and administering your booking but does not own, manage or directly control the services provided by those suppliers.
2. Quotations and Prices
All quotations are subject to availability and are not guaranteed until the relevant suppliers have confirmed the booking and the required payment has been received.
Unless otherwise stated, quotations are based on the exchange rate, airfare, taxes, levies and supplier rates available on the quotation date.
Prices may change before final payment because of:
- Exchange-rate fluctuations;
- Airline fare changes;
- Fuel surcharges, taxes or levies;
- Supplier rate increases;
- Changes to travel dates, routing, room type or passenger details; or
- Errors or omissions in information supplied to us.
We will advise you of any price change before accepting final payment. Once the land arrangements have been paid for in full, their price will not normally increase unless the booking is changed or a new government tax, statutory charge or supplier levy is introduced.
Obvious pricing or calculation errors are not binding. If an error is identified, we will provide the corrected price and allow you to accept it or cancel the affected service without a TLC Vacations cancellation fee.
3. Confirming Your Booking
To confirm a booking, you will generally be required to pay:
- A deposit of 25% of the land package; and
- The full cost of all airline tickets.
Payment must normally be made within 48 hours of receiving confirmation. Different payment requirements may apply to promotional fares, groups, peak-season travel, special offers and non-refundable bookings.
The deposit amount may vary according to supplier terms. The specific deposit and payment requirements will be shown on your quotation, invoice or booking confirmation.
A deposit is not automatically forfeited if a booking is cancelled. It will be applied towards the reasonable cancellation charges and supplier costs permitted under these terms. Any refundable balance will be returned to you.
A booking is only confirmed once:
- The relevant suppliers have confirmed the services;
- TLC Vacations has received the required payment in cleared funds; and
- We have issued written confirmation or an updated invoice.
If payment is not received by the stated deadline, the booking may be cancelled without further notice. Any later booking will be subject to current availability and pricing.
4. Final Payment
The full outstanding balance must be paid no later than eight weeks before departure or check-in, whichever occurs first.
Bookings made within eight weeks of travel must be paid in full immediately.
Some suppliers may require earlier payment. Where this applies, the payment date shown on our invoice or written confirmation will take precedence.
Failure to pay by the due date may result in the booking being cancelled. Any reasonable cancellation costs already incurred will remain payable.
5. Last-Minute Bookings
Bookings made within seven days of departure must be paid in full immediately.
These bookings may be subject to cancellation fees of up to 100% because flights, accommodation and other services may need to be confirmed and paid for immediately.
Any urgent-processing or additional administration charge will be disclosed before the booking is confirmed.
6. Payment Methods
Our preferred payment method is electronic funds transfer into the bank account shown on our invoice.
Credit card payments may be made through an approved secure payment link. We will never ask you to send your complete card details by email.
Cash deposits may attract bank charges, which will be added to your booking.
You are responsible for ensuring that payments are made into the correct TLC Vacations bank account. Please verify any change to our banking details directly with us using a trusted telephone number before making payment.
TLC Vacations is not responsible for losses resulting from payments made into an incorrect or fraudulent bank account where the loss was not caused by our negligence.
7. Changes Requested by You
All requests to change a booking must be submitted to TLC Vacations in writing.
We will do our best to assist, but changes remain subject to availability and the relevant supplier’s approval and conditions.
You will be responsible for:
- Any airline or supplier amendment fees;
- Any difference in fare or package price;
- Any exchange-rate difference;
- Any additional taxes, levies or service costs; and
- Any reasonable TLC Vacations administration fee disclosed before the change is processed.
A name change may be treated by an airline or supplier as a cancellation and a new booking.
Once travel has started, any requested change will be at your own cost. We will assist where reasonably possible but cannot guarantee that changes will be available.
8. Cancellations by You
All cancellations must be submitted to TLC Vacations in writing. A cancellation takes effect when it is received and acknowledged by us.
For standard land arrangements, the following maximum cancellation charges may apply:

The percentages above are maximum charges, not automatic penalties. The final cancellation charge will be reasonable in the circumstances and may take into account the notice given, the nature of the booking, supplier charges and release periods, costs already incurred, normal travel-industry practice, the likelihood of the cancelled services being resold and any loss avoided through resale.
Airline tickets, non-refundable rates, peak-season bookings, groups, promotional offers, villas, exclusive-use accommodation and specially contracted or prepaid services may have different or stricter conditions, including cancellation fees of up to 100%. These conditions will be disclosed or made available before the booking is confirmed.
The cancellation charge may include non-refundable supplier charges, reasonable booking and cancellation administration, and documented loss arising from inventory that was held and could not reasonably be resold. The total charge will not exceed the value of the cancelled services. A separate administration fee will not be added where this would cause the total charge to exceed that value.
Any deposit or payment received will be applied to the applicable cancellation charge. Any remaining refundable balance will be processed after the relevant suppliers have confirmed and paid the refund to TLC Vacations. Supplier and banking processing periods may affect how long this takes.
No refund will be provided for services that a traveller voluntarily does not use after travel has commenced, including early check-outs, missed flights or transfers, unused meals, skipped excursions or a voluntarily shortened stay, subject to applicable law.
Where a traveller cannot honour the booking because of their death or hospitalisation, TLC Vacations will not impose its own cancellation fee where section 17(5) of the Consumer Protection Act applies. Supporting documentation may be required. TLC Vacations will seek recovery of supplier-held funds; the treatment of third-party charges and any refund will remain subject to applicable law.
9. Supplier Cancellation Conditions
Certain services may be sold on a non-refundable, non-changeable or special-offer basis.
Where a supplier’s cancellation conditions are stricter than TLC Vacations’ standard conditions, those conditions will apply to the affected service only if they were clearly disclosed or made available before confirmation.
By confirming the booking, you authorise TLC Vacations to accept the disclosed supplier conditions on your behalf.
TLC Vacations may provide reasonable evidence of supplier charges or costs used to calculate a cancellation charge upon request.
10. Changes, Cancellations or Overbooking by TLC Vacations or a Supplier
Airlines, hotels and other suppliers may occasionally change or cancel a service because of operational requirements or circumstances beyond our control.
Changes may include:
- Flight schedule or routing changes;
- Changes to transfer times;
- The replacement of a hotel or room category;
- Changes to facilities, restaurants or activities; or
- Changes to the sequence of an itinerary.
Where a significant change occurs before departure, we will notify you as soon as reasonably possible and, subject to applicable law and the supplier’s terms, offer an appropriate alternative, credit or refund.
If an agreed booking date, time or location is materially changed and applicable consumer law gives you the right to cancel without penalty, TLC Vacations will apply that right.
If TLC Vacations cancels a booking for reasons within our control and cannot provide a suitable alternative, we will refund the amount paid for the cancelled services.
If a confirmed service cannot be supplied because of overbooking or insufficient capacity, the refund, alternative service and any directly incidental costs will be handled in accordance with section 47 of the Consumer Protection Act where it applies.
If a supplier cancels a service for reasons outside TLC Vacations’ control, we will assist you to obtain an alternative, credit or refund. Where TLC Vacations acts solely as an intermediary, any refund may depend on recovery from the supplier, except where applicable law requires otherwise.
TLC Vacations will not be responsible for indirect or consequential losses, including loss of enjoyment, loss of income or independently booked services, unless the loss resulted from our gross negligence or is otherwise recoverable under applicable law.
11. Travel Delays and Disruptions
TLC Vacations is not responsible for airline delays, schedule changes, missed connections, strikes, weather conditions, airport congestion, technical problems or other disruptions outside our reasonable control.
Additional expenses resulting from a disruption, including accommodation, meals, transport and replacement flights, are for your account unless they are covered by the responsible supplier, airline or your travel insurance.
We will provide reasonable assistance, but we cannot guarantee that a supplier will approve a refund or cover additional expenses.
You should allow sufficient connecting time between separately booked services.
12. Events Beyond Our Control
TLC Vacations will not be liable for a failure or delay caused by an event beyond our reasonable control.
These events may include:
- Natural disasters or extreme weather;
- Pandemics, epidemics or public-health restrictions;
- War, terrorism, civil unrest or political instability;
- Strikes or industrial action;
- Government restrictions or changes in law;
- Airport, border or airspace closures;
- Airline or supplier failure;
- Power, telecommunications or system failures; or
- Any similar event that could not reasonably have been prevented.
Where such an event affects your booking, we will assist you in seeking an alternative, credit or refund. Any refund may be subject to the amount recoverable from the relevant suppliers and their applicable conditions, except where the law provides otherwise.
13. Travel Insurance
We strongly recommend that comprehensive travel insurance be purchased as soon as the booking is confirmed.
Your policy should, where appropriate, cover:
- Cancellation and curtailment;
- Medical treatment and evacuation;
- Travel delays and missed connections;
- Lost, stolen or delayed baggage;
- Supplier failure;
- Personal liability; and
- Pre-existing medical conditions.
It is your responsibility to ensure that the policy is suitable for your destination, activities, health and personal circumstances.
If you choose to travel without adequate insurance, you accept responsibility for costs or losses that could otherwise have been insured.
14. Passports, Visas and Travel Requirements
You are responsible for ensuring that you meet all passport, visa, health, vaccination, transit and immigration requirements for every destination included in your itinerary.
Unless the relevant authority states otherwise, passports should be valid for at least six months after your intended return date and should contain sufficient blank pages.
The names supplied to TLC Vacations must match the travellers’ passports exactly. Any cost arising from incorrect names or information will be for your account.
Entry requirements may change without notice. You should confirm current requirements with the relevant embassy, consulate, airline or official government authority before travelling.
TLC Vacations may provide general guidance but cannot guarantee entry into any country and is not responsible if a traveller is refused boarding or entry because the requirements have not been met.
15. Travel Documents
Tickets, vouchers and other final travel documents will only be issued once the booking has been paid in full and all required traveller information has been received.
You must check all documents immediately and notify us promptly of any error.
You are responsible for travelling with the correct documents and presenting them when required.
16. Airline Tickets
Airline tickets are subject to the relevant airline’s fare rules and conditions of carriage.
Once issued, a ticket may be:
- Non-refundable;
- Non-changeable;
- Subject to amendment or cancellation fees; or
- Subject to an additional fare difference.
Airline cancellation or amendment charges may be up to 100% of the ticket price.
Flight schedules can change. You must check your flight details before departure and reconfirm them with the airline at least 72 hours before travel.
TLC Vacations is not responsible for a missed flight where the traveller did not check the latest schedule or arrive within the airline’s required check-in time.
17. Special Requests and Medical Requirements
Please tell us before confirming your booking about any:
- Medical condition or disability;
- Reduced mobility;
- Dietary requirement;
- Pregnancy;
- Room-location or bedding preference; or
- Other assistance you may require.
We will pass reasonable requests to the relevant supplier, but requests cannot be guaranteed unless confirmed in writing by that supplier.
A supplier may decline a booking if it cannot safely or reasonably accommodate a traveller’s needs.
You remain responsible for determining whether you are medically fit to travel and for obtaining medical advice where appropriate.
18. Conduct and Responsibility
Travellers must comply with the reasonable rules and instructions of airlines, hotels, resorts and other suppliers.
A supplier may refuse or terminate a service where a traveller’s conduct is threatening, abusive, unlawful, disruptive or places people or property at risk.
If a service is terminated for these reasons, no refund will be due and any resulting costs will be for the traveller’s account, subject to applicable law.
You are responsible for any loss or damage caused intentionally or negligently by you or anyone included in your booking.
19. Competition and Prize Bookings
Unless the specific competition rules state otherwise:
- Travel must take place within six months after the prize is issued;
- Travel is subject to availability;
- Prizes are not valid during peak seasons, school holidays or public holidays;
- Prizes are not transferable;
- Prizes cannot be exchanged for cash or another service;
- Date changes may not be permitted;
- The winner is responsible for passports, visas, insurance and expenses not specifically included; and
- Any additional traveller or upgrade will be charged at the prevailing rate.
The specific competition rules will take precedence if they differ from these standard conditions.
20. Complaints
If you experience a problem while travelling, you must report it immediately to the relevant local supplier and give them a reasonable opportunity to resolve it.
If the problem is not resolved, please contact TLC Vacations as soon as possible so that we can assist while you are still travelling.
Any unresolved complaint should be submitted in writing within 28 days after your return to feedback@tlcvacations.co.za.
Please include your booking reference, full details of the complaint and any supporting documents.
A delay in reporting a problem may limit our or the supplier’s ability to investigate or correct it.
21. Our Liability
TLC Vacations will perform its booking and administration services with reasonable care and skill.
Because third-party suppliers provide the travel services, TLC Vacations is not responsible for their acts, omissions, service standards or failures, except to the extent that applicable law makes us responsible.
Nothing in these terms excludes or limits any right or remedy that may not lawfully be excluded under the Consumer Protection Act or other applicable law.
Where liability can lawfully be limited, TLC Vacations’ liability will not exceed the amount paid to us for the affected service.
We are not responsible for indirect, special or consequential loss unless such liability cannot legally be excluded.
22. Personal Information
TLC Vacations processes personal information in accordance with applicable South African privacy legislation.
You authorise us to collect, use and share the information reasonably required to arrange and administer your booking. This may include sharing information with airlines, hotels, transfer companies, insurers, immigration authorities and other suppliers, including suppliers located outside South Africa.
If you provide information about another traveller, you confirm that you have their authority to do so.
We will not use your personal information for unrelated marketing unless you have consented or the law otherwise permits it.
23. Booking on Behalf of Other Travellers
The person making the booking confirms that they:
- Are at least 18 years old;
- Are authorised to make the booking;
- Have provided accurate information;
- Have brought these terms and all supplier conditions to the attention of every traveller; and
- Are authorised to accept these terms on behalf of everyone included in the booking.
The person making the booking is responsible for communicating payment deadlines, itinerary details and travel requirements to the other travellers.
24. South African Consumer Law
These terms must be read together with the Consumer Protection Act and other applicable South African legislation.
If a booking results from direct marketing, any statutory cooling-off right will apply. Where section 16 of the Consumer Protection Act applies, the customer may cancel within five business days without reason or penalty, and TLC Vacations will process the refund within the period required by law.
If any provision conflicts with a right that cannot lawfully be excluded or restricted, that provision will apply only to the extent permitted by law. The remaining provisions will continue to apply.
25. Governing Law and Disputes
These terms and your booking are governed by South African law.
The parties consent to the jurisdiction of a South African Magistrate’s Court with jurisdiction over the dispute, even if the amount claimed exceeds the usual monetary limit of that court. This does not prevent either party from approaching another court or consumer body with jurisdiction.
Your quotation, invoice, confirmed itinerary, disclosed supplier conditions and these terms together form the agreement relating to your booking.
Any amendment must be recorded in writing and accepted by TLC Vacations.
